    Community Calendar Event Submission Policy

    1. Purpose:

    • To provide a framework for managing and approving events posted on the city’s centralized

    community calendar by external stakeholders.

    • Ensure the calendar serves as a reliable and informative resource for residents and visitors to

    find community events, activities, opportunities, and resources.

    2. Scope:

    • This policy applies to all events submitted by local stakeholders, including local government

    agencies, schools and educational institutions, non-profits and service organizations,

    businesses located in or serving Grand Terrace, as well as civic clubs and community groups.

    3. Event Submission Guidelines:

    • Events should generally focus on public interest and community engagement and be aligned

    with the city’s values.

    • The following criteria must be met for an event to be posted:


    • Events must take place within city limits. Events submitted from neighboring

    locations may not be approved.

    • Events must be open to the public; charging for admission is allowed.

    • All event submissions must include valid contact information for the event organizer,

    including name, email address, and phone number. Submissions must also include

    the event title, date and time, location, a brief description, and, if available, a flyer or

    promotional image and a website or registration link.

    • Recurring events (e.g., weekly meetings) may be submitted, but must include clear

    dates and descriptions for each occurrence. Series events should not span more

    than 90 days per submission unless otherwise approved.

    • The city approval team reserves the right to edit event information for length,

    spelling, language, and clarity.

    • The following are examples of acceptable events:

    • Public meetings (e.g., city council, school board), community festivals, fairs, and

    parades, educational workshops or seminars, volunteer opportunities, fundraisers

    open to the public, family-friendly events, health and wellness events, public

    performances and entertainment, etc.


    4. Ineligible Events:

    • Events that do not meet the guidelines above or fall into any of the following categories are

    ineligible:

    • Political or religious events with the primary purpose of endorsing or opposing

    specific beliefs or candidates.

    • Events that promote illegal activity or include content that is obscene, discriminatory,

    abusive, or violent.

    • State or nationwide fundraising initiatives.

    • Information that may tend to compromise the safety or security of the public or public

    systems.

    • Content that violates a legal ownership interest of any other party.

    • Events that do not comply with local, state, or federal legislation.

    • Private events (e.g., weddings, birthday parties)


    5. Approval Process:

    • Events are subject to review by designated city staff to ensure they comply with the guidelines.

    • Event organizers will be notified of approval or rejection within 3-5 business days.

    • Events shall not be posted earlier than 12 months before the eligible event is scheduled to be

    held.

    • At the discretion of the communications department, certain events may also be featured in

    city publications.

    6. Appeals Process:

    • Rejected events may be appealed by fixing the event details within the same event submission.

    You can go and edit the link of the rejected event to trigger the approval process again.

    7. Posting and Removal

    • The city reserves the right to remove events if they no longer meet the eligibility criteria or are

    canceled.

    • Event organizers are responsible for notifying the City of any changes, updates or cancellations

    to their events.

    8. Disclaimer:

    • The community calendar is provided as a community service to citizens and community

    organizations. Though the calendar is moderated, the city does not endorse or verify the

    information included.

    • The city does not control or review the content or operation of the websites referenced in event

    postings.

    • The city does not guarantee the authenticity, accuracy, appropriateness, or security of the link,

    website, or content linked thereto.

    • The city urges you to exercise caution when accessing any unfamiliar website.

    • The city reserves the right to reject any calendar entry which does not comply with this policy.


    9. Review and Amendment:

    • This policy shall be reviewed periodically and updated as necessary to ensure it meets the

    city’s evolving needs.

    10. City’s Screening Process:

    • The city will consider any eligible event submitted and will determine at its discretion whether

    or not it will be listed in its event calendar. The city will notify applicants if their event is not

    listed.

    • The city is not liable for any loss or damage caused as a result of an event not being listed,

    delaying the listing, or removing the listing of an event from the event calendar.

    • All listings are subject to editorial discretion. The city reserves the right to reject any listing

    request and to remove any listing.

    • The city’s events calendar is provided without any warranties or guarantees that the service

    will be error-free and without disruption
